Minfos Database Server Changes

In Minfos 8.0.1, the Minfos Database Server has undergone a transformation to operate as a Windows Service. This change means:

  • The Minfos Database Server will no longer be visible as a program or icon on your server's taskbar during operation e.g. this icon will no longer display
    • Instead, it will function as a Windows Service, configured to start automatically after a server shutdown, restart or software update
  • A recently developed User Interface Application is accessible at H:\Minfos01\wcsdb5.ui.exe. It is important to note that having this interface open on your server is not a prerequisite for Minfos to function
    • This application serves as an option to launch the new Minfos Server UI, offering functionality reminiscent of the pre 8.0.1 version of Minfos. However, its use should be restricted, as it is primarily designed for Minfos Support and Hardware Technicians
    • If you attempt to launch the Minfos Server via the old Minfos Server icon A blue and white logo

Enable Mirixa configuration has been moved

The Enable Mirixa configuration, that was previously used by GuildCare software, has been removed as it is no longer required for integration.

Pharmacies that had this configuration enabled will no longer see the Communicating with MIRIXA window at the end of dispensing.

The eScript Details window has been updated to allow a larger quantity to be displayed.

eScript Repeat Tokens

The following Privacy Notice has been added to all sizes of printed eScript repeat tokens:

DVA electronic scripts

When you scan a DVA script in the Dispense Form, the Rx Type will now default to 1. Authority, previously the script type would default to 5. Private and the dispenser would need to manually click the Rx Type dropdown and select 1. Authority.

Unrestricted S100 scripts

We have updated the dispensing process for unrestricted S100 items, these scripts will no longer prompt for an Authority number, as the Form Type will no longer be set to Authority.

Improvement of Drug matching on the Dispense Form

Now when you scan a script the Possible Drug Matches window will display items based on the Rx Date, not the Dis. Date, this will make dispensing Supply Only items easier.


Auto Dispense

Auto Dispense for National Residential Medication Charts (NRMC's)

Managing NRMC's has never been easier with our new Auto Dispense functionality.

Auto Dispense allows you to start the Quick Dispense process and Minfos will automatically dispense queued scripts, meaning you do not need to click through the Dispense Form. 

To save you even more time, with the Auto Invoice feature in your Nursing Home, successfully dispensed scripts are automatically charged to the customer accounts. Supplies that trigger an exception requiring pharmacist intervention will not be dispensed and will be returned to the Quick Dispense Queue for review or correction, or Quick Dispense manually.

An Auto Dispense exception is a warning or error message that you would see if you dispensed the script via the Dispense Form e.g. a PDL warning or that the medication has ceased. These scripts are errored out of Auto Dispense as they require pharmacist intervention. Some dispense prompts, e.g. the Preferred Supplier and Recommended prompts, have been set to be ignored by Auto Dispense and will not display as an AD error. 

You can also configure Minfos to print dispense labels for all items that are Auto Dispensed, those that are flagged as non-Packed (note this is managed by your packing software) or not print a label automatically.

Note: You cannot use the Dispense module on the workstation once the Auto Dispense process begins. The Auto Dispense process cannot be cancelled once it starts. Use the filters on the Quick Dispense Queue window to manage the number of scripts you Auto Dispense at a time.


Customers

New Customer Account Status

We have introduced a new Account status for account customers, as well as updated Account icons in the Legend across multiple Minfos modules.

When you update to 8.0.1 if any customers have Account Customer checked in their profile, they will be automatically set to an Active Status. You can then review your account customers and update their Account Status accordingly.

Previous versions of Minfos required you to uncheck the Account Customer checkbox, to ‘remove’ the account, even if the customer had an outstanding balance. This process has been replaced with either the Inactive or Suspended account status, once the outstanding balance has been paid the Account Customer checkbox can be unchecked.

Customers with an outstanding account balance, but are not flagged as Account Customers

With the introduction of account status’ in this release, we have implemented a change to customers that have an outstanding account balance but are not flagged as an account customer. When you update to 8.0.1, any active customers (not deleted) with an outstanding account balance that are currently NOT flagged as account customers, will have the Account Customer checkbox re-instated, and the Account Status set to Suspended. The account can still be paid off, but no new items can be charged to the account. Customers must be set as an Active Account Customer to have items charged to the account.

We recommend once you have updated to Minfos 8.0.1 that you review all Suspended accounts.

From the Customer Management module:

1. Click the Enquire menu and select 1. Customer Enquiry.

The Customer Enquiry window is displayed.

2. Check the 1. Account checkbox, the window will update and display only account customers.

3. Click the Account Status dropdown and select Suspended, the window will update and display only account customers with a Suspended account.

4. If you can, follow up with the customer and get them to pay their account, then follow your pharmacies process for this.

5. If you are unable to follow up with the customer or this is a bad debt, follow your pharmacy’s bad debt process or refer to our suggested Write off Customer Account as Bad Debt process, to clear the outstanding balance and then flag the account as Inactive.

Customer Statement Configuration changes

A number of new features have been added to Customer Statements in order to provide greater flexibility around issuing and sending statements to your customers. As a result the previous 'Email Statement Configuration' tab has been renamed to 'Statement Configuration' and now contains all of the statement options available in one location.

From the Statement Configuration tab, you can:

Control if Statements automatically age

  • If you do not select this option, you will be required to Manually Age Customer Statements each month before statements can be issued to your customers

Choose to only issue statements to customers where their account balance exceeds a value

  • For example, if you set a value of $5.00, any accounts with a balance less than $5.00 when the accounts age will not receive a statement, this includes accounts that are in credit

Set Email Statements to automatically send

  • This can either be when they are ready e.g. as soon as they age (after EOD has run at your pharmacy), or,
  • At a custom time, this can be set between the 1st and the 10th of the month and set a time
  • There is a Statement Status section, so you can easily see when the statements last aged, the status e.g. Succeeded. The date of the last Email Statement run and the status. As well as when the next email statement run will occur
  • There is a new Email Statement Send Result Report, than can be reviewed after the statements have been automatically reviewed

Email Statement Template 

  • The email statement template section is still available, the Format Options are no longer displayed on screen e.g. %n = Customers name, they are accessed from the Format Options button

Add an attachment to Statement email

  • The attachment must be 2mb or less
  • The attachment must be a PDF or .doc file
  • The attachment can be configured to send to All customers, 30 day debtors, 60 day debtors or 90 day debtors
  • If you opt to manually email statements, the attachment from Shop Configuration will also be sent to the appropriate recipients

Account Audit Report

There is a new Account Audit Report available from the Reports menu in the Customer Management module. This report allows you to audit changes made to account information, across a date range for either a single customer or a range of customers. The report can be sorted and filtered in multiple ways when displaying the changes.

The Change Types available are:

  • Account Details
  • Direct Debit
  • Credit Details
  • Postal Address
  • Statement Preferences
  • Additional Account Charges

Customer Enquiry

The Customer Enquiry window filters have been updated and the 1. Account, 2. Email Statement, 3. Linked to Account and 0. Print Statement checkboxes will now only be enabled when applicable. For example, the 2. Email Statement and 0. Print Statement checkboxes will only be enabled when 1. Account is checked.

Manage Default Setting for Interest Charges for New Customers

In 7.3.1, we added a configuration to allow you to manage the default account settings when adding a new customer. This configuration controlled the Charge Interest on overdue amounts and the Print Statement checkboxes when adding a new customer. We have since introduced a Statement Method dropdown that is set to None when a new customer is added. So in this release we have updated the existing configuration to only control the Charge Interest on overdue amounts checkbox.

Resolved Issues

Dispense
  1. After viewing the Streamlined Code in the drug recall window, Minfos will automatically return the focus to the drug, so it is easier to interact with the list.
  2. Out of date Residential Medication Chart will now prompt correctly at the end of the 4th month.
  3. Minfos will no longer loop between different windows when cancelling an eScript using Quantity 0.
  4. Using Clear All Set Prices in Dispense Pricing will now clear items marked as Dispensable as well as Drugs.
  5. The Dispense module will no longer crash when changing screens while adding a prescriber.
  6. Using Get Repeat for a patient with no Medicare number will now populate the Dispense Form with the correct price.
  7. Deleting a HICAPS transaction via Dispense will now delete the correct charge on the patient’s account.
  8. HICAPS scripts charged via Auto Invoice will now be invoiced with the correct amount.
  9. Using Get Repeat on a deferred DAA script will now include the correct Government co-payment.
  10. The icon on the Dispense Form when connected to the Robotic Dispense Server has been updated so it is more inline with other robotic systems.
  11. In certain scenarios, the Dispense Form is not displaying the set Fixed Price. This has now been resolved and the Fixed Price will be populated correctly.
  12. Minfos will no longer prompt to include Customer’s name and address when printing CMIs.
  13. The Qty field on the Dispense Form is now limited to 9999998 to avoid accidental scanning of barcode and saving of scripts incorrectly.
  14. Importing a Drug Pricing file will now work correctly regardless of the order of drugs in the file.
Auto Dispense
1. The following prompts will now be ignored during the Auto Dispense process.

a. Owing Scripts.

b. View PBS Rejections.

c. Customer Credit Limit.

Packing
  1. Merging products will no longer cause a Midas error in Minfos Packing.
Stock Manager
  1. The Minfos generated barcode will now be displayed when adding a new product.
Customers
  1. Unknown BSB numbers can now be recorded against a Customer.
Promotions
  1. Re-importing Head Office promotions will no longer cause products with errors to remain highlighted in pink when they are not accepted to be in the promotion.
Till
  1. When the Apply credit card surcharge to PBS scripts configuration is not enabled, the Credit Card surcharge will no longer apply to PBS scripts when using the EFTPOS button at the Till.
